How DenylClaims handles your information
Plain language about what we collect, why we collect it, and the choices you have while exploring the product. No legalese walls of text.

What we collect
When you join the PT Pilot we collect only the practice work email you submit. We use it to send relevant pilot updates and confirmation messages.
During a pilot, the draft notes and audit inputs you paste into DenylClaims are processed to generate payer-matched documentation. We do not collect payment information at any point — DenylClaims is not a billing or claims-submission product.
We also collect anonymous product analytics (page views, feature usage, error reports) through the platform-level telemetry already wired into this app, and basic server logs.
How we use it
We use the practice work email to contact you about the PT Pilot, send confirmation messages, and share occasional product feedback requests.
We use pasted draft notes and audit inputs only to produce the documentation DenylClaims generates for you and to learn which payer rules need a tweak. We do not use your notes to train shared models.
We do not sell, rent, or share your information with advertising networks, data brokers, or third-party marketers. Ever.
HIPAA & protected health information
DenylClaims is currently available for demonstration using synthetic or properly de-identified information only. Do not enter protected health information (PHI).
This demo does not claim HIPAA compliance and does not imply that a Business Associate Agreement (BAA) is available. Contact us before discussing any future data-handling arrangement.
All draft and audit data is encrypted in transit (TLS) and at rest (managed database encryption). We choose vendors — hosting, storage, AI inference — that mirror a covered-entity posture and we list them on request.
Storage & retention
Waitlist records are stored in our managed database and retained until you ask us to delete them or until 24 months of inactivity, whichever comes first.
Pilot data (pasted draft notes, generated documents, audit answers) is retained for the duration of your pilot plus 30 days, then deleted on a rolling basis. You can request earlier deletion at any time.
Backups are encrypted and retained for a maximum of 30 days; expired backups are destroyed in line with our managed-database policy.
Your choices
Ask for a copy of the information we hold about you: we'll send a structured export within 30 days.
Ask us to correct anything that's wrong: we'll update or annotate it on receipt.
Ask us to delete your information: we'll purge it from production systems within 30 days and from backups within 90 days.
Unsubscribe from waitlist or pilot email: every message we send includes a one-click unsubscribe link, or reply "stop" and we'll remove you.
Revoke pilot consent: tell us at any time and we'll close the pilot, delete the pilot data on the schedule above, and confirm in writing.
Cookies & analytics
DenylClaims uses platform-level analytics that operate without identifying individual visitors beyond what your browser already shares (rough region, device class, referrer). These are not advertising cookies and we do not set third-party tracking pixels.
The site stores your preferred theme (light / dark) in a local storage key managed by next-themes. That preference stays on your device and is not transmitted to us.
If you would rather browse without even this level of telemetry, the browser's private or incognito mode disables it without breaking the site.
Updates to this policy
When we change this policy in a material way — anything that affects what we collect, how we use it, who we share it with, or your choices — we'll email active waitlist and pilot participants and update the "Last updated" date at the top of this page.
Non-material changes (typo fixes, clarifications, reordered sections) happen silently. We keep an archive of prior versions on request.
